These Terms of Service (“Terms”) explain how you can use Sophie, our website, and our web app. Please read them carefully — by creating an account or using Sophie in any way, you’re agreeing to these Terms.

1. Who We Are

Sophie is a web app created and owned by Sophie LLC, registered in Wisconsin, USA.

Our mission is simple — to help business owners organize their systems, train their teams, and run their operations more smoothly.


2. Accepting These Terms

By signing up for a Sophie account, inviting team members, or using any part of the app, you agree to follow these Terms.
If you don’t agree, please don’t use Sophie.

We may update these Terms as Sophie grows. If we make significant changes, we’ll let you know by email or inside the app.


3. Who Can Use Sophie

Sophie is designed for business use only and intended for individuals 18 years or older.
You’re responsible for ensuring your account and team members comply with all applicable laws when using Sophie.


4. Your Account

You’re responsible for:

  • Keeping your account login secure

  • Making sure your information (like your name and email) is accurate and up to date

  • Any activity that happens under your account

If you suspect unauthorized access or a security issue, let us know right away at hello@sophiehq.com.


5. Payments & Subscriptions

Sophie is a subscription-based software service.
Payments are securely processed through Stripe.

By subscribing:

  • You agree to pay the fees for your selected plan.

  • Your subscription will automatically renew at the end of each billing cycle unless you cancel.

  • You can cancel anytime from within your account settings or by contacting us at hello@sophiehq.com.

We don’t offer refunds for partial months or unused time, except where required by law.


6. Your Content

When you use Sophie, you may upload or create content like documents, SOPs, images, or training materials (“Your Content”).

You own everything you upload — always.

By uploading content to Sophie, you grant us permission to store and display it only as needed to provide our services to you and your team.

We’ll never share or use your content for any other purpose without your consent.


7. Team Members & Shared Access

If you add team members to your account, you’re responsible for their actions and for ensuring they follow these Terms.

You can remove team members or adjust permissions at any time from within your Sophie dashboard.


8. Data & Privacy

We take your data seriously.
Our Privacy Policy explains exactly how we collect, store, and use information. You can read it anytime at sophiehq.com/privacy-policy.

By using Sophie, you agree to that Privacy Policy as part of these Terms.


9. Intellectual Property

All content, design, and technology behind Sophie — including our logo, branding, text, code, and visuals — belong to Sophie LLC.

You may not copy, modify, or distribute any part of Sophie’s platform or materials without written permission from us.


10. Prohibited Uses

You agree not to:

  • Use Sophie for any illegal or harmful purpose

  • Attempt to hack, disrupt, or reverse-engineer the platform

  • Upload or share content that’s offensive, obscene, or violates another person’s rights

  • Misuse Sophie’s AI or automation tools

We reserve the right to suspend or terminate accounts that violate these Terms.


11. Service Availability

We work hard to keep Sophie online and running smoothly, but sometimes maintenance or outages happen.
We can’t guarantee uninterrupted access, and we’re not responsible for losses caused by downtime or system errors.

We’ll always aim to communicate planned maintenance in advance whenever possible.


12. Disclaimer & Limitation of Liability

Sophie is provided “as is” — we don’t make guarantees about uptime, results, or specific business outcomes.

To the fullest extent allowed by law:

  • We’re not liable for any indirect, incidental, or consequential damages resulting from your use (or inability to use) Sophie.

  • Our total liability will never exceed the amount you paid to Sophie in the 12 months before the event that caused the issue.


13. Termination

You can cancel your account at any time.
We may suspend or terminate your access if you violate these Terms or misuse the platform.

Once your account is deleted, your data will be removed according to our Privacy Policy.


14. Governing Law

These Terms are governed by the laws of the State of Wisconsin, USA, without regard to conflict of law principles.

Any disputes will be resolved in the state or federal courts located in Wisconsin.
