  • Billing info: Payment details handled securely by our partner Stripe (we never see or store your full payment card numbers).

  • Team info: Names, email addresses, and profile photos of your employees or team members you invite into Sophie.

Information collected automatically

Like most web apps, we use cookies and analytics tools (Google Analytics, Meta Pixel, and Hotjar) to understand how our website and app are used. This includes things like:

  • IP address, browser type, and device information

  • Pages viewed and time spent on our site

  • Clicks, scrolls, and interactions within the app

This helps us improve Sophie and make it easier for you and your team to use.

2. How We Use Your Information

We use the information we collect to:

  • Create and manage your account

  • Process payments and subscriptions

  • Help your team collaborate and complete training or SOPs

  • Improve our app experience and fix bugs

We do not sell or rent your personal information — ever.

We only share your data with trusted partners who help us run Sophie. These include:

  • AWS (Amazon Web Services) — for secure hosting and data storage

  • Stripe — for payment processing

  • ChatGPT (OpenAI) — to power certain AI features within the app

  • Google Analytics, Meta Pixel, and Hotjar — for analytics and performance tracking

Each of these partners only receives the data they need to do their job, and they’re required to keep it safe and confidential.

4. Data Retention

We keep your information as long as your account is active.
If you cancel your account or ask us to delete it, we’ll remove your data (except for what we need to keep for legal, accounting, or security reasons).

We take data protection seriously.
Your information is encrypted, stored on secure servers hosted by AWS, and protected with modern security measures.

No system is 100% immune to risk, but we work hard to keep your data safe and continually review our security practices.
